The Faculty of Medicine, which consists of 12 departments, is responsible for biomedical research and courses in the field of nursing and health care and has an extensive research and graduate education in more than 80 subjects.

MIMS (The Laboratory for Molecular Infection Medicine Sweden) is the Swedish node for the Nordic EMBL Partnership for Molecular Medicine. Our mission is to promote research excellence in infection medicine and to foster the careers of the next generation of researchers in this field. Through our partnership with the European Molecular Biology Laboratories (EMBL) and a strong network of Nordic partners, we connect Swedish science to an expanding family of European research centres for molecular medicine.

We are looking for a project administrator with a focus on events for 12 months, for part-time employment at 50%, to our management team. Start in March 2025 or by agreement. The position is located at the Department of Molecular Biology, Umeå University.

 

Job description and work tasks

You will work on administrative tasks to organize workshops, conferences, retreats and meetings. The work is done in close collaboration with a project coordinator and a science manager.  

Administrative tasks: 

  • Support in organizing events and meetings
  • Venue booking
  • Travel bookings (flight, train, bus, taxi)
  • Ordering of catering
  • Scheduling of events
  • Communication with travellers or participants
  • Work on documentation of invoices related to events
  • Linking MIMS activities with the department's dedicated administrative services

Other administrative tasks may be added.  

 

Eligibility

  • Given the nature of the tasks, you should be a service-oriented person with excellent communication and organizational skills.
  • The job requires a minimum of an upper secondary school level. 
  • Excellent knowledge of spoken and written English, and at least a basic understanding of Swedish.
  • As a person, you are flexible, proactive, structured and create a pleasant environment around yourself.

Great importance will be attached to personal suitability. 

 

Additional useful qualifications

  • International experience.
  • Experience in the service sector.
  • Experience in organizing activities is advantageous but not required.
  • Experience working in O365, Amex Neo or Raindance would be an advantage.
