We are looking for a committed and structured administrator to the research program WASP-HS!

The vision of WASP-HS is to realize excellent research and develop competence on the opportunities and challenges of artificial intelligence and autonomous systems with a strong investment in research in social science and humanities. In order to strengthen Swedish research and interdisciplinary collaborations, the national research program WASP-HS, which runs until 2028, includes about 40 research projects, a Graduate School with up to 70 doctoral students, the establishment of at least ten new research groups and international visiting professors. As an administrator for WASP-HS program, you have your employment and workplace at the Department of Computing Science, Umeå University, in Umeå. You will work at the WASP-HS Program Office in a team consisting of a program director, a program coordinator, a coordinator, an economist and a communication officer. English is the official language of the research program and also the day-to-day operational language within the Program Office.

The employment is full-time (100%) starting on 1 March 2022 or by appointment. A probationary period of employment may be applied.

Your main tasks will be:

  • To be primarily responsible for the internal administration of the research program
  • To support other employees at the Program Office with the implementation of the program's activities, enquiries and meeting documentation, operational planning and follow-up
  • To lead, and contribute to the development of, efficient internal administrative processes and routines within the program

Examples of concrete tasks are:

  • Overall practical planning and administration of e.g. meeting bookings, booking of, for example, of travel and accommodation, and archiving
  • Be responsible for continuous updating of process- and timelines, activities and participants within the WASP-HS program instruments
  • Assist in the planning and organization of conferences, workshops and other meetings within the program (physical, digital and hybrid meetings)
  • Assist in the development, maintenance and dissemination of the program's information and presentation materials (in collaboration with the coordinator and communication officer)
  • Be responsible for the management of the WASP-HS contact e-mail address for general enquires

Qualifications

  • Education equivalent with High school degree
  • Minimum 2 years of relevant work experience
  • Excellent proficiency in professional English - both written and spoken
  • Good proficiency in Swedish – both written and spoken.
  • Very good computer skills, e.g. MS Office, Apsis, Wordpress and digital meeting platforms

Working as an administrator within WASP-HS requires that you can work both independently and in team. Given the nature of the tasks, you should be a service-oriented person with very good collaborative and organizational skills. It is also of utmost importance that you are able to create good and service-oriented relationships with both the program's external and internal target groups. As a person, you are independent, flexible, proactive and structured.

Merits

  • Documented educational and/or professional experience of working in English
  • Higher education in area relevant for the position
  • Documented work experience from research administration
  • Familiarity with the disciplines of computing science and/or informatics
